Ask the pros
Questions about the process?
The answers referrers ask for most. Anything else — call (888) 827-6361 and ask the pros directly.
How do I refer a patient?
Three ways: the online form, uploading a prescription or your own referral document on the same page, or faxing / calling any clinic directly. Don't hold a referral for missing records — send what you have and the rest can follow.
How quickly can a patient be seen?
Intake starts when the referral arrives, and the patient is scheduled at the clinic nearest them. If something is time-sensitive — a hearing date, an expiring authorization — say so on the referral and we plan around it.
Do I need an authorization before referring?
No — send the referral first. Our intake team coordinates benefits and authorization with the carrier as part of getting the patient scheduled.
What’s the difference between work hardening and work conditioning?
Work conditioning rebuilds the strength, endurance and movement tolerance a specific job requires. Work hardening is the full-scale, multidisciplinary version — graded real and simulated work activity, hours a day, built around the patient’s actual job tasks. Full detail here.
What does an FCE involve?
A standardized battery measuring safe maximum capability — lifting, carrying, pushing, pulling, positional tolerance, endurance — with consistency-of-effort measures throughout. It spans several hours; we confirm specifics when scheduling. More on our FCE.
What if the patient doesn’t show up or stops participating?
The referrer hears from us immediately — attendance and participation problems are flagged the day they happen, not discovered in a monthly report.
Who receives the reports?
Everyone you list on the referral: adjuster, nurse case manager, attorney, referring physician, employer. Reports state capabilities in job terms so each reader can act on them.
The goal on my file is settlement, not return to work. Can you support that?
Yes — and we won’t pretend otherwise. When the goal is settlement or case closure, what’s needed is objective, defensible documentation of what the worker can and cannot do. That’s exactly what our evaluations produce.
Do you offer services in Spanish?
Yes — bilingual (English/Spanish) services at every clinic.
Can your clinicians testify?
Yes. Peer review, records review, deposition and courtroom testimony are available — for plaintiff and defense.
Where are your clinics?
10 locations across Maryland and Virginia serving the DC metro — all listed here, each with direct phone and fax.
Do you offer telehealth?
Yes, where clinically appropriate — ask when scheduling.
How do I request a patient’s medical records?
Use the medical records page: submit the request online with the signed authorization attached, or email medicalrecords@rehabatwork.com. Fees follow Maryland or Virginia law for the clinic that holds the chart, the page estimates them, and records release the day the invoice is paid.
